Stewardship, Not Hype: How Church Leaders Should Think About AI in Communications

If you oversee church outreach and marketing, you are feeling the pressure. AI is everywhere, expectations for more content are rising, and your team is still the same size, or smaller. The opportunity is real, but so is the risk. The goal is not to become an AI church. The goal is to steward tools wisely so your communication stays truthful, pastoral, and trustworthy.

The real risk: speed without shepherding

AI can make communication faster. But church communication is not just production. It is formation. When speed becomes the win, you can unintentionally trade shepherding for output.

Here is what that looks like in the real world:

  • A perfectly written caption that feels emotionally tone deaf after a community tragedy.
  • A sermon quote graphic that is accurate but contextless, creating confusion.
  • A visitor follow up email that reads like a brand, not a church.

Scripture warns us against careless words, even when they are efficient:

  • Let your speech always be gracious, seasoned with salt (Colossians 4:6).
  • The heart of the righteous ponders how to answer (Proverbs 15:28).

Use AI to remove busywork, not to replace pastoral presence.

 

What AI can responsibly help with, and what it should not touch

Think of AI like a capable assistant. It is great at first drafts, structure, and repetition. It is dangerous when it replaces discernment, care, or truth.

What AI can help with, responsibly:

  • First drafts of announcements, email subject lines, and event descriptions
  • Repurposing (turn a sermon outline into a blog summary, a short video script, and a newsletter snippet)
  • Clarity edits (shortening, simplifying, removing jargon)
  • Idea generation (series names, outreach themes, FAQ lists)
  • Consistency (formatting, spelling, tone checks)

What AI should not touch, or should only assist with carefully:

  • Pastoral counseling responses, especially crisis, grief, trauma, abuse
  • Sensitive church discipline or conflict communication
  • Anything requiring confidentiality, including names, prayer requests, private situations
  • Theological claims without human review
  • Direct spiritual authority language, AI should never manufacture God told me statements

A helpful filter is Philippians 4:8. Is this true, honorable, just, pure, lovely, and commendable. AI can help you write, but you must guard what you publish.

 

Governance: who approves, what is the standard, what is off limits

If you do not set governance, you will get shadow AI. Well meaning volunteers and staff will use tools inconsistently, creating risk and confusion.

1) Decide who can use AI, and for what:

  • Outreach and marketing staff: drafts, repurposing, formatting
  • Pastors and elders: final review for theology, tone, and pastoral alignment
  • Volunteers: only within pre approved templates and prompts

2) Create a simple approval ladder:

  • Level 1, low risk: event promos, service times, basic reminders
  • Level 2, medium risk: giving campaigns, vision updates, sensitive community topics
  • Level 3, high risk: crisis statements, controversy, counseling related messaging

3) Define off limits clearly:

  • No uploading member lists, private emails, counseling notes, or prayer requests into AI tools
  • No AI generated responses to pastoral care DMs
  • No publishing AI output without a named human owner

Moreover, it is required of stewards that they be found faithful (1 Corinthians 4:2). Faithfulness includes process.

 

Protecting voice, tone, and pastoral care

Your church voice is not a brand asset. It is a trust asset. To protect it, build a simple voice guardrail your team uses every time.

A 5 question voice check:

1) Does this sound like our church, not a generic Christian influencer?

2) Is it warm and human, would we say it from the stage?

3) Is it clear who we are serving, the newcomer, the hurting, the committed?

4) Is it truthful and specific, no exaggeration, no vague promises?

5) Is there a pastoral next step, reply, call, prayer, meet a leader, join a group?

AI can help you write the words. You protect the care. Shepherd the flock of God that is among you (1 Peter 5:2). Even your emails and captions are part of how you shepherd among you.

You do not need a 12 page document. Start with one page, align leadership, and iterate.
